You can make newly purchased copies available, unavailable, or schedule their availability for your organization. This feature is typically used to allow librarians to review a publication's metadata or to control the date on which the library wants to make available copies purchased at an earlier date.

Making a copy available or unavailable, and scheduling its availability

To access this feature:

  1. Click on Catalogue in the Administration vertical navigation bar.
  2. Click on the Copies tab.
  3. Search using a filter or a search field.
  4. Check the box to the left of each copy (availability can be batch managed).

The following options are shown as buttons:

  • Plan availability: the copy will be removed from the catalogue on the selected date and its status will change to Planned. It will appear in the catalogue on the selected date.
  • Make available: enables you to change the status of copies that are not available to Available. Copies appear immediately in the catalogue, unless they are already in one of the following statuses: Exhausted, Expired, or Terminated.
  • Make unavailable: enables you to change the status of the copies to Unavailable and unplanned. The copies disappear from the catalogue immediately. You can always make them reappear later by selecting Make available or Plan availability.

Defining the availability of new copies for your library

By default, all copies added to the catalogue at each new synchronization are automatically offered to patrons. The platform automatically integrates your purchases, with the status Available.

However you can specify that all newly purchased copies are added to the platform with the status Unavailable and unplanned. Then they only become visible to patrons when you make them available manually, or on the scheduled date of their availability.

To do so:

  1. Click on Organisation in the Administration vertical navigation bar.
  2. Click on Edit.
  3. In the New copies section, uncheck Automatically display new copies to patrons.
